How we overcome it depends heavily on how we deal with the factual and human aspects of this crisis.<\/strong><\/p>\n<p><!--more--><\/p>\n<p>Professional project management, taking psychological aspects into account, offers many useful approaches in a crisis. Let&#039;s examine the situation more closely and find out how we can use our project management know-how to find and navigate a path through this crisis and ultimately achieve our goal.<\/p>\n<p>Using a fictional example of a shipwreck and a concrete example from the company <a href=\"https:\/\/www.elektronikpraxis.vogel.de\/redirect\/919764\/aHR0cHM6Ly93d3cuZWxla3Ryb25pa3ByYXhpcy52b2dlbC5kZS9jb3ZpZC0xOS1pbW11bnN5c3RlbS1laW4tNS1waGFzZW4taGFjay1mdWVyLWluZHVzdHJpZWxsZS1rbXVzLWluLWV4dHJlbXNpdHVhdGlvbmVuLWEtOTE2MTIyLw%3D%3D\/5b9ad1f7f3ae1d76afc9886e9ffe153b8813d7133c518221822b3abb\/article\/\" target=\"_blank\" rel=\"noopener\">Schmid Electronics<\/a> The results of these or similar approaches can be achieved through research from Switzerland.<\/p>\n<p>The world, businesses, and every individual are currently asking themselves one main question: How can we best overcome the coronavirus crisis? In other words, we all have one primary goal right now \u2013 to get through the crisis as well as possible. What exactly does &quot;getting through&quot; mean?<\/p>\n<p><strong>I don&#039;t want to infect anyone, I don&#039;t want to get sick, I want to keep my employees, I want to avoid bankruptcy, I don&#039;t want to lose money, or combinations thereof.<\/strong><\/p>\n<p>To overcome a crisis together, clear goals are crucial. Goals focus energies and thus enable coordinated action. However, we are dealing with an extremely complex situation: numerous influencing factors are at play, all interacting with one another. The course, duration, and outcome of the crisis are virtually unpredictable. We must assume that established goals and planned paths are not sustainable, as the environment in which we are working towards our objective can change very rapidly.<\/p>\n<p>This doesn&#039;t mean we shouldn&#039;t set goals or that planning the next steps isn&#039;t worthwhile. Rather, it means we are compelled to constantly and critically examine our goals and chosen paths, adapting them to new realities as needed. We are dealing with a moving target in a constantly changing landscape.<\/p>\n<p>The example of a shipwreck illustrates these connections: Imagine we are shipwrecked sailors in a time before electronic devices. We are stranded on a deserted, uninhabited island. All we have are the clothes on our backs and our knife on our belt. Our goal is survival. We have a few ideas about how we might achieve this goal \u2013 but nothing more. There are no certainties, only probabilities \u2013 and even those can only be assessed qualitatively. This means we must combine goal-oriented planning, action, and continuous learning to maintain our chances of survival.<\/p>\n<h4>The Plan-Do-Check-Act cycle<\/h4>\n<p>For complex situations, we can very effectively apply the so-called PDCA cycle, also known as the Deming cycle. It essentially functions like a controller that flexibly adapts to environmental conditions. The acronym PDCA stands for Plan, Do, Check, Act. In a dynamic environment, the PDCA cycle generally proceeds as follows:<\/p>\n<ul>\n<li>Initially, we plan only as many steps in detail as necessary and reasonable, considering available knowledge and plausible assumptions. We adjust the planning horizon to the dynamics of the problem. If a situation changes rapidly, we focus on carefully planning a few steps. Long-term planning would be a waste of time.<\/li>\n<\/ul>\n<ul>\n<li>Then we will implement some of the planned steps to the extent necessary to assess their effectiveness.<\/li>\n<\/ul>\n<ul>\n<li>We analyze the results of the steps taken. In simplified terms, it states: the faster something changes, the more frequently and precisely we need to observe it to ensure we don&#039;t overlook anything important. It gives us clues as to how quickly we need to cycle through the PDCA cycle\u2014not too often, but also not too infrequently. In the case of the coronavirus crisis, the question then becomes: what do I need to check, how, and when, so that I can adapt my goal and the steps I take to achieve it in a timely manner to the changes in the environment?<\/p>\n<p>To minimize our reaction time to changing conditions, it&#039;s beneficial to consider possible future scenarios. We think about how the environment and conditions might change and what courses of action could be derived from this. It&#039;s very helpful to identify which scenarios are likely and what solutions would then be appropriate. To do this, we combine facts and plausible assumptions. We should keep in mind that complex situations change unpredictably \u2013 this is, after all, a fundamental characteristic of complexity. Therefore, it&#039;s essential to continuously review and reassess our scenarios.<\/p>\n<p>Let&#039;s look at this using our example:<\/p>\n<p>Our primary goal is to somehow survive on the island where we&#039;ve been stranded. The following scenarios are conceivable, for example:<\/p>\n<ol>\n<li>We will be rescued shortly.<\/li>\n<li>We will be saved, but we don&#039;t know when.<\/li>\n<li>We will not be saved.<\/li>\n<\/ol>\n<p>Which scenario is most likely? Which scenario should we base our next steps on because it offers the greatest chance of survival? (Image: Peter Siwon)<\/em><\/p>\n<p>We conclude that preparing for Scenario 2 is the safest course of action because it encompasses Scenario 1 and simultaneously creates a good foundation for coping with Scenario 3. We then consider the requirements of the goal &quot;surviving until rescued.&quot; The result could be: food, water, shelter, a signal for potential rescuers, etc.<\/p>\n<p>Now we gather solution ideas for the most likely scenario(s). We detail these as much as necessary to roughly assess the benefits, costs, risks, and probability of success. We also define termination criteria, meaning we decide under what circumstances we abandon a solution path and use or seek an alternative. The idea that promises the best cost-benefit ratio with a high probability of success is then developed to the point where we can implement it practically and gain targeted experience in the process.<\/p>\n<p>Back to the island. As shipwrecked survivors, we search for solutions to satisfy our hunger, for example, and come to the following conclusion:<\/p>\n<ul>\n<li>hunting animals with spears<\/li>\n<li>Setting animal traps<\/li>\n<li>Access plant-based food sources such as fruits, berries, etc.<\/li>\n<\/ul>\n<p>Now we evaluate these ideas, define termination criteria, and determine how we can quickly benefit from our experiences. For selecting solution ideas, a qualitative assessment using &quot;high,&quot; &quot;medium,&quot; or &quot;low&quot; is often sufficient. The evaluation of the &quot;hunting&quot; idea could look like this:<\/p>\n<ul>\n<li>Hunting offers significant benefits, as animals provide high-quality food. Furthermore, it provides insights into animal behavior, and we explore the island in the process.<\/li>\n<\/ul>\n<ul>\n<li>All the prerequisites for building good spears and a fire pit are in place. The effort required is minimal.<\/li>\n<\/ul>\n<ul>\n<li>We are in good physical condition and have hunting experience. High probability of success.<\/li>\n<\/ul>\n<ul>\n<li>The risks are difficult to assess due to a lack of knowledge about the animals and the island. Currently, they appear low. However, we must reassess them regularly.<\/li>\n<\/ul>\n<ul>\n<li>We will call off the hunt if it proves too risky or does not lead to success within a day.<\/li>\n<\/ul>\n<ul>\n<li>After each (failed) attempt, we review our approach and adjust it if necessary. Success factors are continuously identified and optimized.<\/li>\n<\/ul>\n<p>This rough analysis of the possible solutions creates the conditions for a decision. Furthermore, it offers additional advantages:<\/p>\n<ol>\n<li>It is helpful if we are aware of the other proposed solutions. This way, when implementing one idea, we might already be able to create better conditions for others.<\/li>\n<li>We determine whether the ideas can be combined in a beneficial way.<\/li>\n<li>We can better assess whether it is advantageous to at least partially prepare alternative solutions. (Image: Peter Siwon)<\/em><\/p>\n<p>As shipwrecked survivors, the approach just described might lead us to the following results: We would choose hunting because it allows us to quickly obtain very nutritious food. We would also use hunting to observe animal behavior and look for other food sources. This would lay a good foundation for implementing the other ideas. We could even use alternative food sources while hunting.<\/p>\n<p>It&#039;s also conceivable that we might stumble upon such a plentiful alternative food source that it makes sense to interrupt or end the hunt. However, we can also craft not only spears but also baskets before the hunt. This way, we create good conditions for quickly gathering berries and fruits on the way back to camp if the hunt is unsuccessful.<\/p>\n<h4>Shaping, acting and learning together<\/h4>\n<p>Having decided on the most likely scenarios and promising solutions, we can draw on a wealth of resources. We apply the many proven methods of project management, teamwork, leadership, and communication that are suitable for these scenarios. The highly dynamic environment in complex projects, such as achieving a goal during the COVID-19 crisis, supports the following criteria for method selection:<\/p>\n<ul>\n<li>Appropriate methods strengthen the feeling of belonging and responsibility.<\/li>\n<\/ul>\n<ul>\n<li>They enable a flexible core team to develop the best possible and most up-to-date overview of the overall situation and to make quick and well-founded decisions.<\/li>\n<\/ul>\n<ul>\n<li>They promote the ability to act through transparency and clarity regarding goals, methods, and roles.<\/li>\n<\/ul>\n<ul>\n<li>They allow for the continuous monitoring of progress and results based on verifiable criteria.<\/li>\n<\/ul>\n<ul>\n<li>They create the flexibility for a well-founded adjustment of goals, methods, and roles.<\/li>\n<\/ul>\n<ul>\n<li>They promote solution-oriented thinking and the acquisition of knowledge.<\/li>\n<\/ul>\n<ul>\n<li>They make successes visible and use setbacks as lessons for future successes. They give people the opportunity to meet each other as human beings (with the necessary distance) and to exchange information about their needs, joys, desires, fears, troubles, etc.<\/li>\n<\/ul>\n<p>The first and last points on this list are particularly important to me. We are demanding significant sacrifices from one another. On the one hand, participation increases the sense of shared responsibility for implementing the solutions. On the other hand, it strengthens the feeling of self-efficacy.
